Class booking software that keeps your lists in order
Flexatiq's class booking software keeps your timetable and bookings in one place: you set classes up once and members book themselves from their phones. The online class schedule enforces class caps and runs the waitlist for you.
The problem: bookings that need constant fixing
Bookings taken by phone, chat or a sheet on the front desk need constant attention. Someone booked twice, someone dropped out without telling anyone, and the people who wanted that place never find out it is free. In the end the instructor still does not know who to expect.
How do you build a class timetable?
You build the class timetable from rooms, class types and recurring classes, each with its own class cap:
- ✓Rooms – each with its own name, for example studio, yoga room or mat area.
- ✓Class types – for example Pilates, spinning, Salsa Level 1 or WOD.
- ✓Recurring classes – set the day and time once and the class repeats every week.
- ✓A class cap for every class.
How does online class booking work?
Members open the member app, see the schedule with the number of free places and book with one tap. The front desk can also book a member in manually, for example when someone phones the club. Every booking lands on the same list, so the instructor knows how many people to expect.
Booking also checks the membership: someone without a valid membership or without visits left cannot take a place that another member could use.
When a class is full, the member joins the waitlist. If someone cancels, the first person on the waitlist is added to the class automatically, with no work for the front desk.
What happens when a member cancels late or does not turn up?
If the member cancels at least 2 hours before the class, the visit goes back onto their membership; after that, or if they simply do not turn up, the visit is lost. A visit is deducted at the moment of booking, so this works like a no-show fee and gives people on the waitlist time to take over the place.
Reports show class occupancy and no-shows, and the attendance heatmap shows which time slots are in demand and which could move.
Which clubs it suits
Class booking pays off wherever places are limited: dance studios, CrossFit boxes, martial arts schools, yoga studios and gyms with group classes. If you have several locations, each one has its own rooms and timetable.
Questions and answers
- Are members moved up from the waitlist automatically?
- Yes. When someone cancels, the first person on the waitlist is added to the class automatically.
- How late can a member cancel without losing the visit?
- The visit goes back onto the membership if the member cancels at least 2 hours before the class starts.
- Do I have to build the class schedule every week?
- No. Recurring classes are set up once and repeat weekly; you can still add or change individual classes.
- Do members need to install an app from an app store to book?
