Why paper cards and spreadsheets stop working

A stamped paper card gets lost, gets lent to a friend, and counting the visits left relies on trust on both sides. A spreadsheet is better, but it will not tell the front desk at check-in that a membership expired yesterday or is currently frozen.

In Flexatiq every member has a profile with their current membership and all previous ones, so it is easy to see who renews regularly and who bought a single membership and disappeared.

Which membership types can you offer?

You can offer time-based memberships, visit and class packs, day passes and subscription-style memberships, setting the parameters of each one:

• ✓Time-based memberships – for example 30 days of open access or a whole dance term.
• ✓Visit packs and class packs – for example 10 visits, deducted at each check-in or class booking.
• ✓Day passes and single classes – for guests and trial sessions.
• ✓Subscription-style memberships with a fixed renewal period – automatic recurring card billing is coming soon.

How do membership freezes work?

The front desk freezes the membership and its expiry date moves forward by the frozen period – for example when a member goes on holiday or is recovering from an injury. You decide the limits – how many times and for how long a membership can be frozen – so the rules are the same for everyone.

How do you sell a membership at the front desk?

Selling a membership takes seconds: pick the member, choose the membership type and save the sale. If the member is paying later, the membership is marked as awaiting payment, so outstanding payments are visible at a glance.

Every check-in is validated against the membership. An expired, used-up or frozen membership is refused with a clear reason on the front desk screen, so staff never have to guess.

Reports and data you control

The dashboard shows active members, churn and sales compared with the previous period, plus members at risk who have not visited for 14 days. Member and membership data is hosted in the EU, handled in line with GDPR and can be exported as CSV. Moving from another system? We migrate your existing memberships free of charge.
