Dance studio management software for classes, terms and families

Flexatiq is dance studio management software that lets you build your class timetable, sell memberships and take dance class bookings online. Students and parents book from their phones, and you can see straight away which groups are full and which still need a few more dancers.

What makes running a dance studio different

A dance studio does not work like a gym. The year is shaped by terms, groups run at different levels and students come at the same time every week. The day-to-day problems are different too:

  • ✓Bookings arriving by message, phone call and sticky note, so nobody is sure who is actually in the group.
  • ✓Some groups oversubscribed while others barely reach the minimum.
  • ✓Missed lessons and the eternal question of whether a student can attend another class instead.
  • ✓Children and teenagers, where contact and payments go through their parents.
  • ✓Keeping track of term memberships and class packs without a spreadsheet.

Term courses and a class timetable that builds itself

In Flexatiq you set up your rooms and class types, for example "Salsa – Level 1", "Bachata – Improvers" or "Ballet for ages 6–8". Each level or style is its own class type with its own class cap. Classes are recurring, so you build the timetable for the whole term once rather than re-creating it every week, and one-off workshops can be added separately.

For a term course, sell a time-based membership that runs for the length of the term. For drop-in students, sell class packs of 8 or 10 classes, or a single class for a trial lesson.

How does online dance class booking work?

Students book in the member app, and the front desk or a teacher can also enrol them manually. When a group is full, students join the waitlist and are added to the class automatically as soon as a place becomes free. Read more on our class booking page.

A class is deducted from the membership at the moment of booking. If the student cancels at least 2 hours before the class starts, it goes back onto their membership. Late cancellations therefore do not block places, while cancelling in good time costs nothing.

How do make-up classes work?

With a class pack, a student who misses their usual lesson can book any other class that has a free place and use the remaining class there. It is a simple way to handle make-up classes without separate notes, phone calls or arguments at the end of term.

Can parents book classes for their children?

Yes – in studios with children's classes, the parent or guardian has their own account and the child is linked to it. The parent books the child into classes and sees the child's membership in the app. Teachers see their own classes, the front desk handles sales and bookings, and the owner and manager have access to everything, including reports.

What the reports show

When you choose "dance studio" as your facility type, the dashboard focuses on group work: class occupancy, no-shows among booked students and active students. The attendance heatmap shows which time slots are most popular, which helps when you plan new groups for the next term.

Tracking each student's level and progress is coming soon. Partner pairing within couples classes is not a separate feature today; couples classes are run as ordinary class types with their own cap.

Getting started

Choosing the facility type sets up starter class types and memberships that you then adapt to your own offer. We move your student list from a spreadsheet or another system for you, free of charge. Your data is hosted in the EU and handled in line with GDPR, and the app works in English and Polish.
